Tiny techniques to embed your personal brand into your emails

Quietly impactful ways to elevate every email you send with touches of personal brand presence. Transform the transactional into memorable moments.

Your emails are more than just correspondence; they form the tiny impressions you leave for your personal brand day in and day out. From the subject line to the sign-off, every detail offers an often overlooked opportunity to express who you are, what you stand for and the experience of working with you. With a few touches of finesse, your inbox becomes an extension of your professional identity - polished, personal and unmistakably you.

Here are nine simple, strategic ways to embed your personal brand into your emails with clarity, confidence and a hint of your personal brand’s panache.

1. Refine your signature sign-off

Make the last impression of your email a lasting one. Craft a sign-off that carries your tone, values and personality.  Whether it’s the impact of just your initials or a nickname, the way you sign off your name and salutation can set the tone for your personal brand’s personality.

2. Add personality to your email address

If you run your own business and have authority over your email address, elevate a generic ‘info’ address with hello@ energy or your name to transform your emails from transactional to personal.

3. Create micro-moments of intrigue. Cross-promote.

Instead of simply signing off with your generic website, include more personalised links, like your LinkedIn profile or other platforms, or content on your blog, YouTube or podcast. If you don’t have these portfolios, find something that more specifically shows your work or promotes your niche expertise or interest.

4. Show your face

Adding your face to your email signature stationery can transform an impersonal conversation into an experience that feels like you’re right there in the room.

5. Infuse your tone

Tiny tweaks to words and phrases can make all the difference in communicating your personal brand’s tone and personality in your emails. If you’re unclear on your tone, ask ChatGPT to rewrite your email to reflect your desired tone of voice.

6. Edit with style

Your typeface and layout choices can subtly form part of your visual brand. Don’t overlook the tiny opportunities to elevate the visual identity of your brand. The use of sub-headlines, dot points and tactful bold and italics shows you edit with intention and communicate with clarity. Even your email editing style can form part of your personal brand.

7. Add a signature style to the email subject line

The little line of text in your email subject line is prime real estate. You can treat it as an afterthought, or you can use it to create a consistent personal brand style. For example, branding the emails you regularly send with a specific subject line style. This creates a branded moment for frequent communications.

8. Use your PS for a powerful personal brand message

As copywriters know well, your PS is also a compelling tool for any communication. It will often get more attention than everything else you said. Use your PS as the chef’s kiss for your personal brand. Whether it’s the teaser for something special you’re working on or your final call to action for your time-sensitive promotion, use your PS purposefully.

9. Personalise your out-of-office replies

Skip the generic reference that you're out of the office until next Monday for a sneak peek into what you’re doing and infuse excitement about your return. In just a couple of sentences, turn a transactional exchange into a memorable personal brand moment. Let your personal brand keep working for you even while you’re not.

Email with style

With just a few deliberate details, you can curate emails that project a sense of consideration instead of chaos. So the next time you hit “send”, remember: even the most ordinary email, if you let it, can be a signature expression of your personal brand.
